Holographic Training LMS Professional Wiki
This guide is for administrators using Holographic Training LMS Professional. It explains the main screens in plain English and follows the current admin menu order as closely as possible.
Holographic Training LMS gives you structured courses, modules, lessons, learner accounts, learner dashboards, admin-approved access, basic quizzes, progress tracking, course imports, page setup, the course catalogue and editable system emails for essential account messages. Professional adds paid access, orders, coupons, bundles, protected content, AI course tools, LMS migration tools, advanced quizzes, assessments, final exams, tutors, evidence portfolios, certificates, live sessions, attendance, reporting, automation, integrations and commercial training workflows.
The shorter name HoloLMS is used where it makes the admin path easier to read.
Use the contents below to jump to the screen you need. Each section explains what the screen is for, how to use it, and the mistakes that usually cause problems.
Professional Wiki Contents
This page follows the current Professional menu order: Dashboard, Course Builder, AI Tools, Learning, Learners, Commerce, Certificates, Settings, Setup and Help. It also covers System Emails and the LMS Migration Importer because they are important setup and management tools.
Recommended setup order: install the LMS foundation first, install Professional second, activate the Professional licence, review Settings, set up the AI provider if you will use AI Tools, customise System Emails, run Setup, build the course structure, configure the Professional features you need, then test the full learner journey before publishing or selling courses.
Build And Improve Courses
Use Course Builder and AI Tools to create course structure, improve lesson content, build quizzes and keep courses more consistent.
Migrate Existing Training
Use the LMS Migration Importer to scan supported source systems, preview importable data, map records, import in batches and roll back created records if needed.
Deliver And Prove Results
Use Learning, Learners, Commerce and Certificates to manage delivery, paid access, evidence, attendance, results, certificates, reports and learner communication.
Dashboard
What it is
The Dashboard is the main control hub for Professional. It gives administrators a quick route into course building, AI Tools, learners, assessments, commerce, certificates, reporting, setup, settings, licence management and support tools.
The Dashboard also shows site status and recommended first actions. On a new installation, it is the fastest way to check whether the licence is active, the site is configured, the core pages exist, the email system has been reviewed and the main Professional areas are ready to use.
How to use it
Start here after installing Professional. Check the site status panel first. If the licence is not active, open the licence screen from the Dashboard and activate the Professional licence before testing paid features.
Use the recommended action buttons for the first setup pass. Review Settings, set up the AI system you want to use, customise System Emails, add payment details where needed, create required pages through Setup, open Course Builder, import or export courses, and open Help if you need the support notes.
Use the dashboard cards to reach Professional tools that are not always shown as separate top-level menu items, such as reports, exports, logs, job queue, support tools, feature status, audit export packs, expiry reminders, learner notifications, migration tools, manager approvals, white-label settings and advanced feature pages.
Possible problems or common mistakes
Do not treat the Dashboard as proof that the whole learner journey works. A card can be visible even when a shortcode page, payment setting, certificate template, course access rule, learner entitlement, email template or completion rule still needs attention.
If a Professional feature appears locked, check the licence status first. Then check that the required plugins are active and up to date.
If dashboard counts look wrong, open the linked feature screen and check filters, dates, course status, learner status and background jobs before assuming the count itself is wrong.
Course Builder
What it is
Course Builder is the main workspace for creating and managing course structure. It keeps the course, module, lesson, quiz and assessment structure in a course-focused view so administrators can build training in a logical order.
Course Builder controls LMS structure. It does not replace the WordPress content editor. Use Course Builder for course relationships, order, publishing state and learning structure. Use the linked content editor, Elementor, HoloEdit or another suitable editor for the visible learner-facing page content.
How to use it
Create the course first, then add modules, then add lessons, then attach quizzes, module assessments and final exams where the course needs them. Keep the course unpublished while you are building it.
Use the settings actions for LMS data such as title, slug, parent course, parent module, display order, publication state and progression. Use content editing actions for the visible lesson, module or course page text.
Use preview actions while building, but always test as a learner before publishing. Administrator preview does not prove that learner access, progress tracking, quizzes, payments, certificates and completion rules work correctly.
Related Professional tools
Course Import / Export
Import complete course packages and export finished courses for reuse, backup or transfer between Holographic Training LMS sites.
LMS Migration Importer
Move supported course content, learner records and learning results from other LMS platforms.
Course Library

Possible problems or common mistakes
Do not edit a lesson page when the actual problem is course structure. If a lesson is in the wrong module, fix the lesson settings in the LMS structure.
If preview opens the wrong item, check the course, module and lesson relationships.
If content appears missing, check that you edited the linked content page for the correct item.
Do not delete live course structure without checking learner progress, quiz attempts, assessment records, certificates and evidence records.
AI Tools
What it is
AI Tools help administrators create and improve course content faster. They support lesson creation, lesson improvement, quiz question generation, quiz quality checking and course quality checking.
The tools are designed to support course creation, not replace review. Every AI-generated lesson, quiz, assessment or improvement should be checked by a human before it is published.
AI Tools can use selected LMS content where available. For example, if you select an existing course, module, lesson or quiz from a dropdown, the tool can use that item as context and manual fields that are no longer needed are disabled. Required manual fields remain active and are marked as required.
How to use it
Before using the tools, open Settings and configure the AI system you want to use. Use the Self-Test area to confirm the provider can be reached before generating course content.
Use Create A Lesson when you need a new structured lesson. Give the tool enough detail about the course, module, level, subject and expected outcome. Review the returned HTML before adding it to a live course.
Use Improve A Lesson when an existing lesson is too thin, unclear, badly structured or not practical enough. Select the existing lesson where available so the tool can use the current content rather than relying only on manual text.
Use the Quiz Question Generator to build new questions, then check that every question has one clear correct answer unless the quiz type intentionally supports multiple answers. Use the Quiz Quality Checker to spot obvious distractors, poor wording, duplicate questions, weak stems and answer mapping issues.
Use the Course Quality Checker to review course structure, weak lesson coverage, assessment gaps and consistency across a wider course build.
AI tools in this area
Create A Lesson
Generate a structured lesson draft with metadata, teaching sections, learning outcomes and practical learning content.
Improve A Lesson
Improve existing lesson content, clarity, flow, structure and practical usefulness.
Quiz Question Generator
Create stronger quiz questions with better answer options and clearer assessment coverage.
Quiz Quality Checker
Review quiz questions for weak wording, obvious answers, duplicate questions and poor distractors.
Course Quality Checker
Check a course for structure, gaps, inconsistency and weak learning coverage.
Provider Self-Test
Confirm the configured AI provider responds before using AI course tools.
Possible problems or common mistakes
Do not publish AI output without checking it. AI can produce convincing but wrong explanations, weak quiz questions, poor distractors, false assumptions or inappropriate examples.
Do not ask AI to create final legal, medical, financial, compliance or safety-critical content without expert review.
If AI output looks too generic, improve the input. Add the subject, target level, lesson purpose, required skills, learner context and what the learner should be able to do after the lesson.
If dropdown selection disables a field, that usually means the selected LMS item supplies that value. Required fields that are still needed remain active.
If a lesson contains interactive elements, test them inside the lesson page before publishing. A lesson can look correct in the editor but still fail because of stripped scripts, broken HTML or theme conflicts.
LMS Migration Importer
What it is
The LMS Migration Importer helps administrators move supported course content, learner records and learning results from other LMS platforms into Holographic Training LMS.
It supports detection and scanning for LearnDash, Tutor LMS, LifterLMS, Sensei LMS and LearnPress. It can scan data on the same WordPress installation, read supported export files, safely scan SQL dump files without executing them, and map learner or result data from CSV and JSON files.
The importer uses a batch-based workflow. It scans first, shows a preview, allows mapping and data group selection, imports selected data, writes logs, creates reports and supports rollback for records created by that import batch.
How to use it
Start by selecting a source or running the source scan. If the source LMS exists on the same WordPress site, use same-site detection. If the source data came from another site, upload a supported export file, SQL dump, CSV or JSON file.
After scanning, review the detected source, confidence level, evidence, counts, warnings and validation messages. Do not start the import until the detected source and data groups make sense.
Choose the data groups you want to import. You can migrate course content only, learner records, enrolments, progress, results, certificates or selected combinations depending on what the source data contains.
Use the mapping screen to match source records to target records where needed. This is especially important for learner and results imports, because results should only be imported where learner, course, lesson and quiz mappings are clear.
Run the import in batches and review the final migration report. If the import created records you do not want, use rollback for that batch. Rollback should only remove records created by that batch and should not remove existing records that were matched and reused.
Migration routes
Same-Site Scan
Detect supported LMS data already present on the current WordPress installation.
Export File Upload
Upload supported ZIP, JSON or CSV exports from a supported source LMS.
SQL Dump Scanner
Scan SQL dump files for whitelisted source data without executing the SQL.
CSV / JSON Mapping
Map learner, enrolment, progress, result and certificate records from external files.
Dry-Run Preview
Check what can be imported, skipped or rejected before data is created.
Logs And Rollback
Review import history, download reports and roll back records created by a selected batch.
Possible problems or common mistakes
Do not upload SQL dumps from untrusted sources. The importer does not execute SQL, but the file can still contain sensitive data that should be handled carefully.
Do not import learner records or results until you have checked the mappings. Wrong learner or course mappings can create confusing historical records.
If Tutor LMS is falsely detected, check whether the evidence refers to Holographic tutor tables. The importer should ignore Holographic tutor tables and only treat known Tutor LMS evidence as Tutor LMS data.
If an import reports unsupported question types, do not force them into the wrong format. Review them manually and rebuild those questions where needed.
If a batch import partially fails, review the logs and report before starting another import. Re-running without checking the cause can create avoidable duplicates or skipped records.
Learning
What it is
Learning is the main hub for course delivery features. It brings together courses, modules, lessons, quizzes, course import/export, course library tools, course groups, assessments, final exams, tutors, evidence, learner portfolios, progress timelines, CPD records, live sessions, marking visibility, interactive lesson blocks, surveys, feedback and quiz rule tools.
Use Learning when you are managing how training is delivered and assessed. Use Commerce when money, checkout, orders, coupons or paid access are the issue. Use Certificates when the issue is certificate output, templates or verification.
How to use it
Use Courses, Modules and Lessons to review individual records when you need a more direct admin list than Course Builder. Use Quizzes for lesson question sets, scoring and advanced quiz controls.
Use Course Import / Export when moving full Holographic Training LMS course packages between sites or backing up reusable course content. Use the LMS Migration Importer when moving supported data from another LMS.
Use Assessments and Final Exams when learning needs a formal pass/fail or marked review. Use Tutors, Evidence and Learner Portfolio when learners need to submit written work, practical activity files, screenshots, workplace artefacts or other evidence for review.
Use Progress Timeline, CPD Records, Live Sessions and Marking SLA to manage the learner record after the course is running. These screens help you see what happened, what is waiting for review, what attendance exists and what professional development evidence has been recorded.

SCORM/xAPI
Wrapper support for compatible packaged learning workflows where used.
Possible problems or common mistakes
Do not use simple quizzes for work that really needs evidence or tutor review. Use assessments, evidence and tutor marking where learners need to prove practical competence.
If a learner cannot move forward, check progression rules, quiz pass marks, assessment status, final exam status, evidence status and attendance requirements.
If tutors cannot see marking work, check tutor assignment, submission status and tutor account setup.
If imported content looks wrong, check the import package, course relationships, linked pages, editor compatibility and missing shortcodes.
Learners
What it is
Learners is the main admin area for learner accounts. It lets administrators add learners, search learner records, check email verification, view learner status and open individual learner records.
Learner records are central to Professional. Course access, orders, quiz attempts, assessments, evidence, certificates, attendance, CPD records and progress all depend on the learner account being correct.
How to use it
Use Learners when you need to add a learner manually, check whether a learner account exists, confirm the learner email address, review account status or investigate access problems.
When a learner reports a problem, start with the learner record. Confirm the email address used for checkout or enrolment, the account type, verification status, course access and last login details.
Use learner-specific views alongside Gradebook, Progress Timeline, Orders, Evidence and Certificates when support questions involve completion, access, payment, assessment or certificate records.
If learner data was imported through the LMS Migration Importer, review the source mapping and import batch report before changing records manually.
Possible problems or common mistakes
A common access problem is two different email addresses: one used for purchase and another used for the learner account. Check both before changing records.
If the learner cannot log in, check email verification, password reset, account status, the learner login page and the relevant account email template.
Do not create duplicate learner accounts without checking existing records first. Duplicate accounts make progress, certificates and orders harder to support.
Do not give learners WordPress administrator accounts. Learner access should remain inside the learner account workflow.
Commerce
What it is
Commerce is the hub for selling courses and managing paid access. It covers orders, coupons, bundles, payment and webhook integrations, content rules, course access models, cohorts, learner limits, waitlists and checkout recovery.
Use Commerce when the issue involves buying, selling, payment status, paid course access, discounts, bundles, protected resources, payment provider connections or learner access after purchase.
How to use it
Configure payment details in Settings before launching paid courses. Then use Commerce to manage orders, coupons, bundles, content rules and integrations.
Use paid course access to let learners buy training directly from your WordPress site. Test the complete journey: basket, checkout, payment, order creation, invoice display, learner access and email messages.
Use coupons for controlled discounts, bundles for multi-course offers, subscriptions or payment plans for staged access, cohorts for intakes, learner limits for capacity control, waitlists for full courses and abandoned checkout recovery for incomplete purchases.
Use Content Rules to protect paid resources, downloads and supported lesson video. Test protected content as both an authorised learner and an unauthorised visitor.
Commerce tools and workflows
Orders
View and manage course and module purchases, payment references and access-related order records.
Invoices
Give learners and administrators purchase records where invoice pages and settings are configured.
Coupons
Create discount codes for campaigns, clients, staff, partners or limited-time offers.
Bundles
Sell several courses or modules together as one package.
Integrations
Manage payment, API, webhook, Zapier and Make connector settings.
Content Rules
Control protected downloads, protected content, paid-access resources and access restrictions.
Course Access
Manage access expiry dates, subscription course access and payment plan course access.
Cohorts And Intakes
Manage course intakes, learner limits and capacity-controlled training groups.
Waitlists
Capture demand when courses are full, scheduled or not yet open.
Checkout Recovery
Review abandoned checkout records and recovery prompts.
Related Courses And Upsells
Promote useful follow-on training and relevant course offers.
Protected Downloads And Video
Keep paid resources and supported lesson video behind learner access controls.
Possible problems or common mistakes
Do not cache basket, checkout, account, learner dashboard or protected-content pages as static pages. They are dynamic and user-specific.
If a learner paid but cannot access the course, check order status, payment provider webhook, learner email, entitlement record, course status, access expiry and cohort capacity rules.
If a coupon behaves wrongly, check date limits, usage limits, course scope, bundle scope and tax settings.
If subscriptions or payment plans are used, test renewals, failed payments, cancellation and access expiry before launching.
Do not put protected files on public pages as ordinary media links. That can bypass access rules.
Certificates
What it is
Certificates is the hub for certificate issue, certificate templates, physical certificates and certificate fraud protection. It is used when the course needs credible completion records, branded certificates, verification pages, QR checks or certificate status history.
Certificates should only be issued when the learner has met the course completion rules. Those rules may include lessons, quizzes, assessments, final exams, evidence, attendance, video completion or manual approval depending on the course design.
How to use it
Create or select the certificate template before learners complete the course. Check the logo, signature, issuer wording, learner name, course name, certificate number, dates and verification details.
Test certificate issue with a test learner. Confirm that the certificate is created only after the correct completion rules are met.
Scan the QR code or open the verification page to confirm the certificate can be checked. Use certificate status history for valid, revoked, expired and invalid status records where needed.
If certificates were imported as historical records, check the migration report and source mapping before regenerating or replacing them.
Certificate tools
Certificates
View issued certificates, verification details, certificate records and physical certificate orders.
Certificate Templates
Manage certificate layout, branding, logo, signature and displayed certificate fields.
Physical Certificates
Manage print and dispatch workflows for physical certificates where offered.
Certificate Fraud Protection
Use QR verification, status history and revoked, expired or invalid status handling.
CPD And Learning Credits
Use CPD records and achievement records where your course records learning time or credits.
Manager Approvals
Use approval workflows where completion or certificate issue needs final sign-off.
Possible problems or common mistakes
If a certificate is not issued, check every completion requirement before assuming the certificate system failed.
If the certificate layout looks wrong, check the template, image sizes, uploaded branding assets and page styling.
If verification fails, check the verification page, shortcode, certificate code, QR route and certificate status.
Do not revoke, expire or regenerate certificates without understanding the record history and learner impact.
Settings
What it is
Settings controls site-wide Professional behaviour. It can affect branding, currency, authentication, payments, tax, certificates, discussions, logging, policy notices, AI configuration, integrations, email behaviour, uninstall behaviour and reference information.
Settings should be reviewed before you build or sell courses. Many Professional features depend on a correct global setting before the individual course feature works properly.
How to use it
Start with general settings such as site display name, default currency and branding. Then configure authentication, payment gateways, tax settings, certificate settings, email settings, logging and policy notices based on the features you will use.
Add payment provider details before testing paid checkout. Add certificate branding before testing certificate issue. Check email and SMTP behaviour before enabling automation and learner notifications.
Configure the AI provider before using AI Tools. Use the Self-Test area before generating lessons, improving content or checking quiz quality.
Use reference areas when you need shortcode names, JSON examples, endpoint details or setup information. These are useful when building required pages or checking import formats.
Possible problems or common mistakes
Do not change payment, tax, certificate, email, AI or authentication settings on a live site without testing the affected workflow.
If checkout fails, check payment settings, payment mode, provider credentials, webhook setup and checkout page setup.
If AI Tools fail, check the selected provider, API endpoint, API key, model name and Self-Test result.
If certificates look wrong, check both certificate templates and global certificate/branding settings.
Do not enable destructive uninstall or cleanup options unless you genuinely intend to remove data and already have a full backup.
System Emails
What it is
System Emails lets administrators customise emails sent by Holographic Training LMS. This includes essential learner account emails and Professional emails for learning, commerce, reporting and automation workflows.
Emails are sent as styled HTML and use the website name as the sender name where WordPress would otherwise use its default sender name. Templates can include useful links back to the website, login pages, course pages, checkout, certificates, reports or learner records where the email type supports them.
How to use it
Open System Emails during the first setup pass. Review each template subject and body before inviting learners or selling courses.
Check essential account emails first: email verification, password setup and password reset. These are important because learners need them to access the system.
Then review Professional email templates for learner notifications, scheduled reports, training expiry reminders, abandoned checkout recovery, waitlist notifications and course-related automation.
After editing templates, send test emails where the feature allows it. Check the sender name, subject, body, links, button wording, layout and whether the message still makes sense on mobile.
Possible problems or common mistakes
Do not remove required links or placeholders unless you are sure the email does not need them. Password reset, verification and access emails usually need working action links.
If learners say they did not receive an email, check spam folders, SMTP settings, sender reputation, email logs and whether the relevant email action was triggered.
If an email has the wrong wording, edit the template instead of changing unrelated plugin settings.
If a link in an email goes to the wrong page, check the page setup, shortcode, permalink and site URL.
Setup
What it is
Setup checks the pages and shortcodes required by Holographic Training LMS Professional. The basic learner pages are created for the learner account flow. Professional adds extra pages for checkout, invoices, certificates, assessments, final exams, evidence, tutor workflows, CPD records, learner notifications and other front-end features.
Required pages are normal WordPress pages that contain LMS shortcodes. Without the correct page and shortcode, the admin feature may exist but the learner-facing or tutor-facing screen may not work.
How to use it
Run Setup after checking Settings and System Emails. Create any missing pages, confirm that existing pages are published, and check that each required page contains the correct shortcode.
After creating or repairing pages, save WordPress permalinks from Settings → Permalinks. You usually do not need to change the permalink structure. Saving the screen refreshes WordPress routing.
Test each front-end page using the correct account type. Use a learner account for learner pages, a tutor account for tutor pages, and a checkout test for payment pages.
Possible problems or common mistakes
Do not delete required pages unless you are ready to recreate them. Checkout, certificates, evidence, assessments and tutor dashboards rely on those pages.
Do not remove shortcodes while editing pages with a visual editor. The page can look correct in the editor but fail because the shortcode is missing.
If a shortcode appears as plain text, check that it is placed in a shortcode-capable block or widget.
If a page exists but the feature still fails, check the shortcode, page publication status, logged-in user type, licence status and caching.
Help
What it is
Help is the support and reference area for Professional. Use it when you need setup notes, feature explanations, troubleshooting guidance, shortcode reminders or instructions before raising a support request.
Help is also useful after updates, because new Professional features may add new pages, shortcodes, settings, workflows or checks.
How to use it
Use Help before making changes to a live course site. Check the relevant feature notes, then confirm the correct page, setting, shortcode and learner journey.
When raising a support request, collect the Professional version, Core version, WordPress version, PHP version, licence status, affected page URL, course name, learner email if relevant, exact steps to reproduce the problem and any visible error message.
For migration issues, include the source LMS, import route, batch ID, selected data groups, import report and the first clear failed item from the log. Do not include raw SQL dumps or learner personal data unless specifically requested through a secure support route.
Possible problems or common mistakes
Do not send passwords, payment card details, private keys or licence keys in support messages.
If a problem affects learners, collect one clear example first. The best support example is usually one learner, one course, one page URL, one expected result and one actual result.
Do not change several settings while investigating one problem. Change one thing, test it, then move to the next.

Professional Support Checklist
Before opening a support request, collect the Holographic Training LMS Professional version, the main LMS version, WordPress version, PHP version, licence status, affected page URL, learner email if relevant, course name, exact steps to reproduce the issue, screenshots if useful, and any visible error message. For migration issues, include the source LMS, import route, batch ID and migration report. Do not include passwords, payment card details, private keys or licence keys in normal support messages.
