Holographic Training LMS Plugin FAQ

Holographic Training LMS FAQ

Holographic Training LMS is a WordPress LMS plugin suite for building and running online training from your own website. Core gives you the free course and learner foundation, Professional adds the main commercial training tools, Corporate adds organisation-level training management, and Agency gives agencies and training providers wider licence coverage for multiple client LMS websites.

This FAQ is written for real buyers, site owners, trainers and administrators. It explains what each version is for, how the versions fit together, what you can build, how licensing works, what data stays on your site, what to check during setup, and how the main course, payment, certificate, assessment, video, attendance, AI, migration and corporate training features work.

Quick Overview

What is Holographic Training LMS?

Holographic Training LMS is a WordPress learning management system plugin suite. It lets you build structured online training inside WordPress using courses, modules, lessons, learner accounts, quizzes, progress tracking and training records. The paid versions add more advanced tools such as course sales, protected downloads, protected lesson video, interactive video tracking, certificates, assessments, tutor marking, evidence portfolios, live sessions, attendance tracking, Gradebook reports, AI course tools, LMS migration tools, client portals and corporate training management.

The main advantage is control. Your training website, course pages, learner records and training content sit inside your own WordPress site, rather than being locked inside a separate hosted LMS platform. This is useful if you want ownership of your website, your SEO, your brand, your learner journey and your long-term training records.

What are the different versions?

Core is the free foundation. It gives you the basic LMS structure: courses, modules, lessons, learner accounts, a learner dashboard, admin-approved course access, basic quizzes, progress tracking, import/export, setup tools and editable system emails for essential learner account messages. Professional is the main commercial version. It adds paid course delivery, AI course tools, LMS migration, protected resources, interactive video lessons, certificates, assessments, tutor marking, evidence portfolios, live sessions, attendance, Gradebook reports, automation and integrations. Corporate adds the business training layer: corporate accounts, departments, teams, managers, seats, client portals, competency tracking, document acknowledgement, practical skills sign-off, risk dashboards and audit exports. Agency includes the full stack and licence coverage for up to 20 live production domains managed by the Agency licence holder.

What is new in the current Core and Professional feature set?

Core now includes editable system email templates for essential learner account messages, including email verification and password reset workflows. These emails use a styled HTML layout and can use the website name as the sender name.

Professional now includes stronger AI Tools and the LMS Migration Importer. AI Tools can create lessons, improve lessons, generate quiz questions, check quiz quality and check course quality. The LMS Migration Importer can scan supported LMS sources, upload supported exports, scan SQL dumps safely without executing them, map CSV/JSON learner and results data, preview imports, record logs, produce reports and roll back records created by an import batch.

Is Holographic Training LMS for selling public courses or for internal staff training?

It can be used for both. A course creator might use Professional to sell paid online courses, issue certificates and manage learner evidence. A business might use Corporate to manage staff training, manager dashboards, departments, document acknowledgements and audit evidence. A training provider might use Corporate or Agency to deliver training to several client organisations. The right version depends on whether you need simple course delivery, commercial course sales, or organisation-level training management.

Does the LMS replace my WordPress website?

No. It works inside WordPress. Your existing website can still have normal pages, posts, menus, sales pages and contact forms. Holographic Training LMS adds the training structure and the learner workflows. That means your course catalogue, learner dashboard, lessons, checkout, certificates, evidence areas and corporate portals can sit alongside the rest of your website.

Does it work with Elementor and HoloEdit?

Yes. Holographic Training LMS is built to sit naturally inside WordPress, so course-related pages can be shaped with familiar visual editing tools such as Elementor and HoloEdit. The key point is that the visual editor controls the presentation of the page, while the LMS handles the training structure, learner access, course progress, quizzes, protected content, certificates, evidence and reports behind the scenes.

When using a visual editor, do not remove or break the shortcode or dynamic LMS output area required by that page. A learner dashboard, checkout page, certificate verification page or evidence portfolio page needs the correct LMS output in place to work properly.

Choosing The Right Version

Which version should I choose?

Choose Core if you want a free LMS foundation for courses, modules, lessons, learner accounts, admin-approved access, basic quizzes, progress tracking and essential learner account emails. Choose Professional if you want to sell courses, protect downloads or videos, issue certificates, run assessments, collect learner evidence, use AI course tools, migrate from supported LMS sources, run live sessions, track attendance, send learner notifications or use stronger reporting. Choose Corporate if you need to manage staff training across companies, clients, departments, teams, managers, seats, competency records, document acknowledgements and audit evidence. Choose Agency if you manage multiple client LMS websites and need the full feature stack across up to 20 live production domains.

I want to sell courses. Which version do I need?

You need Professional. Core does not include paid course sales. Professional adds the commercial course tools: paid course access, checkout, basket, orders, invoices, tax controls, coupons, course bundles, module bundles, Stripe and PayPal support. It also adds the features most paid course providers normally need around protected resources, certificates, assessments, learner notifications and reporting.

If you sell training to companies and need each company to have its own managers, seats, staff records, departments or client portal, Professional alone may not be enough. In that case, use Corporate as well.

I want free courses but still need learner access control. Is Core enough?

For many simple free courses, yes. Core supports learner accounts and admin-approved course access. Learners can register and use the learner dashboard, while administrators can control who gets access to which courses. If you later need paid checkout, certificates, tutor marking, evidence portfolios, live sessions, attendance tracking, AI Tools or migration tools, add Professional.

I need a course site for one small business. Which version is best?

For simple internal training, Core may be enough to start. If the business needs certificates, evidence, assessments, protected files, expiry reminders, live sessions, AI-assisted course building or formal reports, Professional is a better fit. If the business also needs managers, departments, seats, competency tracking, document acknowledgement or audit exports, Corporate is the better choice.

I train other companies. Which version is best?

Corporate is usually the right fit if you train other companies and need separate company accounts, client portals, manager dashboards, seats, departments, assignment rules or audit evidence. Corporate is designed for business-to-business training where each client or organisation needs its own training records and reporting view.

If you build or manage several separate LMS websites for different clients, Agency may be the better licence because it includes the full stack and covers up to 20 live production domains managed by the Agency licence holder.

I need certificates but I do not need payments. Do I still need Professional?

Yes. Certificates are part of Professional, even if your courses are free. Professional includes certificate templates, certificate verification, QR verification, certificate status history and certificate fraud protection features. It also includes CPD hours and downloadable achievement records, which are often useful even when the course itself is not sold through checkout.

I need managers to see staff progress. Which version do I need?

Use Corporate. Manager dashboards and manager permissions are organisation-level features. Corporate lets authorised managers view the staff, departments, teams, records and reports they are allowed to access. That is different from giving someone WordPress admin access, and it is much safer for client or department-level training management.

Can I start with Core and upgrade later?

Yes. Core is the foundation. You can build courses, test the learner journey and start shaping your training site before adding paid tools. When you need commercial course sales, certificates, protected content, advanced assessments, evidence, live sessions, AI Tools, migration tools or reporting, add Professional. When you need companies, departments, staff groups, managers, client portals and compliance evidence, add Corporate.

Core Version Questions

What can I do with Holographic Training LMS Core?

Core lets you create the main LMS structure inside WordPress. You can build courses, divide them into modules, add lessons, register learners, give learners a front-end dashboard, manually approve or assign course access, add basic lesson quizzes, track progress, use setup tools, customise essential learner account emails and use course import/export tools. It is the free foundation for getting a real course structure running on your own site.

Can I build a real course with Core?

Yes. Core is suitable for real courses that need a clear structure and a learner journey. You can create a course, add modules, publish lessons, enrol a learner, add basic quizzes and track progress. It is useful for simple training sites, free courses, awareness training, internal learning resources, community learning and early course development.

If the course later needs payments, certificates, formal assessments, tutor marking, live sessions, AI Tools, migration from other LMS platforms or advanced reporting, you can add Professional without throwing away the work you did in Core.

What are the strongest Core features?

The strongest Core features are the course structure, learner dashboard, learner accounts, admin-approved course access, basic quizzes, progress tracking, course import/export, setup checks, course package handling and essential system email templates. These are the features that let you build the foundation of a proper WordPress training site before adding commercial or corporate tools.

Can learners use Core without WordPress admin access?

Yes. Learners use front-end learner accounts. They can register, verify their email, log in, reset passwords and access their learner dashboard without using the WordPress admin dashboard. This matters because learners should not normally be inside the WordPress admin area. They should have a training experience designed for them, not an administrator interface.

Can I manually give learners access to courses?

Yes. Manual learner access and admin approval are included in Core. This is useful for free training, private courses, internal staff training, small group learning, client onboarding or any situation where an administrator wants to decide who can access a course without using online checkout.

Does Core include paid courses?

No. Core does not include paid courses, prices, buy buttons, basket actions or checkout. Core is for free or manually assigned course access. If you want to sell courses or take payments, use Professional.

Can I customise learner account emails in Core?

Yes. Core includes editable system email templates for essential learner account messages such as email verification and password reset. These emails can use styled HTML and website-name sender handling so the learner account journey feels more consistent with your site.

Can Core import and export courses?

Yes. Core includes course import and export tools. This is useful when you want to move a course from a development site to a live site, keep a portable copy of a course, or reuse a course structure on another WordPress installation. Course packages can include course structure, modules, lessons, quizzes and supported lesson media references.

Supported protected lesson media can also be carried and reconnected through course packages where the feature is supported. That helps imported lessons stay linked to the correct files on the new site instead of pointing at old attachment IDs from the source site.

Does Core need a paid licence?

No. Core is the free version and does not require a paid licence key. It can be installed from WordPress.org and updated through the normal WordPress plugin update process.

Professional Version Questions

What does Holographic Training LMS Professional add?

Professional adds the main commercial training delivery layer. It includes AI course tools, the LMS Migration Importer, course sales, checkout, orders, invoices, tax control, coupons, bundles, Stripe and PayPal support, subscriptions, payment plans, cohorts, waitlists, abandoned checkout recovery, related courses, protected downloads, protected lesson video, interactive video lessons, advanced quizzes, module assessments, final exams, tutor marking, evidence portfolios, certificates, CPD records, live sessions, attendance tracking, Gradebook reports, learner notifications, editable Professional email templates, course expiry reminders, H5P compatibility, SCORM/xAPI wrapper support, Webhook/Zapier/Make connectors and administration tools.

Who is Professional for?

Professional is for course creators, tutors, consultants, training providers and businesses that need a serious training platform rather than a simple course structure. It is the right option if you want to sell courses, protect training content, issue certificates, manage assessments, collect learner evidence, run live sessions, track attendance, use AI course tools, migrate from another LMS, send learner notifications and manage training records more professionally.

Does Professional work on its own?

No. Professional extends Core. Install and activate Holographic Training LMS Core first, then install and activate Professional. Core supplies the LMS foundation, and Professional adds the professional course delivery features on top of it.

What are the main new Professional features?

The main newer Professional features are AI Tools, the LMS Migration Importer and the expanded system email workflow. AI Tools help create lessons, improve lessons, generate quiz questions and check quality. The LMS Migration Importer helps move supported data from LearnDash, Tutor LMS, LifterLMS, Sensei LMS and LearnPress. System Emails allow administrators to customise Professional email templates for learning, commerce, reporting, reminders and automation workflows.

Can Professional protect training files and lesson videos?

Yes. Professional includes protected downloads and protected lesson video support. This is important when you sell courses or provide learner-only resources, because normal WordPress media files are usually easier to access directly. Protected resources help keep training documents, worksheets, downloads and video content behind learner access rules.

What are interactive video lessons?

Interactive video lessons add more structure to video-based training. Supported lesson videos can track progress, resume from the learner’s last position, apply required watch percentage rules, use chapters, show transcripts, include pause prompts and produce video engagement records. This is useful when video watching is part of course completion, compliance evidence or structured learner progress.

What does Professional add for assessments?

Professional adds advanced quiz settings, quiz import/export, quiz enforcement, time limits, attempt controls, questions per attempt, question difficulty tagging, randomised quiz sections, module assessments, final exams, assessment blueprinting and question pool analytics. These tools are useful when course completion depends on a more reliable assessment workflow rather than a simple knowledge check.

Can Professional handle tutor-marked work?

Yes. Professional supports tutor accounts, tutor sessions, tutor assignments, tutor notes, tutor messages, tutor marking, written-answer review, uploaded evidence, tutor feedback, learner notes, intervention logs and tutor marking SLA tracking. This is useful for practical training, professional development, written assignments, evidence-based learning and any course where human judgement is needed.

What is the learner evidence portfolio?

The learner evidence portfolio is a structured area for learner submissions, uploaded documents, practical activity evidence, tutor feedback, certificates and completion records. It helps keep evidence connected to the learner and course rather than spread across email attachments, shared drives or manual spreadsheets.

Can Professional track CPD hours and learning credits?

Yes. Professional can record CPD hours and learning credits against training activity. Learners can also use downloadable achievement records to show completed training, dates, assessment outcomes, certificate status and evidence information. This is useful for professional development, internal training records and learners who need proof of completed study.

Can Professional issue and verify certificates?

Yes. Professional includes certificates, certificate templates, certificate logo and signature upload tools, certificate verification, QR verification, certificate status history, certificate fraud protection enhancements and physical certificate support. Certificates can be linked to course completion rules, and verification helps prove whether a certificate is valid, revoked, expired or invalid.

Can Professional support live or blended learning?

Yes. Professional includes live session and attendance tracking tools. This supports courses that combine self-paced lessons with webinars, classroom sessions, online meetings, practical workshops or scheduled live training. Attendance can be recorded and used as part of the learner’s training evidence where required.

Does Professional include Gradebook reporting?

Yes. Professional includes Gradebook views and exports that bring together progress, quiz attempts, assessment outcomes, certificates, evidence, video completion and attendance information. This helps training providers see learner status in one place instead of manually checking several different screens.

Can Professional connect to other tools?

Yes. Professional includes Webhook, Zapier and Make connector support for automation workflows. It also includes H5P compatibility and SCORM/xAPI wrapper support for training providers who need to work with compatible interactive content or packaged learning workflows. The exact workflow depends on the tool, the content and how the site is configured.

AI Tools Questions

What are the AI Tools?

AI Tools are Professional tools that help administrators create and improve course content. They can help create a lesson, improve an existing lesson, generate quiz questions, check quiz quality and review course quality. They are designed to speed up course development while still leaving the administrator in control.

Do AI Tools replace human review?

No. AI output should always be reviewed before publishing. AI can produce useful drafts and suggestions, but it can also produce incorrect facts, weak quiz questions, unclear wording or unsuitable examples. Treat AI Tools as a course-building assistant, not as an automatic publishing system.

Can AI Tools use existing course, module, lesson or quiz content?

Yes. Where the tool supports it, you can select existing LMS content from dropdowns. When selected content supplies information the tool needs, manual fields that are no longer required can be disabled. Fields that are still required remain active and should be completed properly.

Which AI providers can be used?

Professional supports configurable AI provider settings. The available provider options depend on the plugin version and site configuration, but the aim is to allow administrators to use the AI setup that works for them rather than forcing one fixed provider.

What should I check before using AI-generated quiz questions?

Check that each question is clear, accurate, relevant to the lesson, has the correct answer mapped properly, and does not use silly or obvious distractors. Also check that the correct answer is not predictable because it is always the longest or most detailed option.

LMS Migration Importer Questions

What is the LMS Migration Importer?

The LMS Migration Importer is a Professional tool for moving supported course content, learner records and learning results into Holographic Training LMS. It is designed to help site owners migrate from another LMS or import structured learner data without rebuilding everything by hand.

Which LMS platforms can it detect?

The importer includes detection and adapter support for LearnDash, Tutor LMS, LifterLMS, Sensei LMS and LearnPress. The quality of the import depends on the source data available, the structure of the source site, and whether the relevant course, quiz, learner, progress, certificate and result data can be mapped clearly.

Can it scan data already on the same WordPress site?

Yes. Same-site scanning can detect supported LMS source data already present in the current WordPress installation. This is useful when you are replacing another LMS on the same site and want to inspect what can be migrated.

Can it scan SQL dumps?

Yes. The importer can scan supported SQL dump files for relevant source data without executing the SQL on your website. This is safer than importing a raw database dump directly, but SQL dumps can still contain sensitive data, so handle them carefully and delete unneeded files after migration work is complete.

Can it import learners and results from CSV or JSON?

Yes. The importer can scan and map CSV or JSON learner and results data where the file contains enough information. Mapping is important because learner records, course records, quiz results and certificates need to connect to the correct target records.

Does the importer support dry runs and rollback?

Yes. The importer supports scanning, previewing, validation, logging, migration reports and batch rollback. Rollback is intended to remove records created by a selected import batch. It should not be treated as a replacement for a proper site backup.

Should I back up before using the Migration Importer?

Yes. Always back up before importing course structures, learners, progress records, results or certificates. Migration work can create a lot of connected records, so it should be tested on a staging site or with a small import before running a large migration on a live site.

System Email Questions

Can I customise LMS emails?

Yes. You can customise the emails sent by Holographic Training LMS. Core includes essential learner account emails, and Professional adds templates for learning, commerce, reporting, reminders and automation workflows.

Which account emails are included in Core?

Core includes editable templates for essential learner account messages such as email verification and password reset. These are part of the learner account system and are important for registration, verification and access support.

Which emails are added by Professional?

Professional adds templates for course and learner workflows such as learner notifications, training expiry reminders, waitlist messages, checkout recovery, reporting emails and other automation-related messages where those features are enabled.

Are LMS emails plain WordPress emails?

No. LMS emails can use styled HTML templates and website-name sender handling. This makes learner emails look more consistent with your training site and avoids generic default WordPress sender wording where possible.

What should I check before inviting learners?

Review the email verification, password reset, learner notification and course access emails before inviting learners. Check subject lines, body wording, links, sender name and whether the message makes sense on mobile.

Corporate Version Questions

What does Holographic Training LMS Corporate add?

Corporate adds the organisation management layer. It includes corporate accounts, client-branded training portals, learner groups, departments, teams, roles, manager dashboards, manager permissions, corporate seats, staff replacement workflows, assignment rules, enrolment rules, Training Needs Analysis, Staff Competency Matrix, regulated document acknowledgement, practical skills sign-off, external assessor portal, training risk dashboards, manager video completion views, team Gradebook reports, team attendance evidence, missed-session reporting, corporate reports and audit exports.

Who is Corporate for?

Corporate is for organisations that need to manage training across companies, departments, staff groups, client accounts, assessors, managers or larger learner teams. It is useful for staff training, client training, business-to-business training, compliance training, onboarding, health and safety training, managed learning programmes and audit-heavy training environments.

Does Corporate work by itself?

No. Corporate requires Core and Professional. Install Core first, then Professional, then Corporate. Corporate adds business and organisation features on top of the course delivery tools provided by Core and Professional.

What are corporate accounts?

Corporate accounts let you create separate managed training records for companies, clients, departments, branches, business units or managed groups. Each account can have its own learners, seats, managers, assigned courses, training records and reports. This is useful when records need to be separated by company, client, contract, department, site or team.

What are client-branded training portals?

Client-branded training portals give each client or managed group a more tailored training area. A portal can show client-specific branding, assigned courses, welcome text, learner access and manager views. This is useful for training providers who deliver training to several organisations but want each client to feel that the training area belongs to them.

How do departments, teams and roles help?

Departments, teams and roles help connect training to the way the organisation actually works. A learner can belong to a department or team, and their role can be used to decide what training they need. Managers can then view the records that match their area of responsibility, rather than seeing the whole site.

What are corporate seats?

Corporate seats are active learner places under a company or client account. They help manage how many learners a client or organisation can assign to training. This is useful when training is sold or allocated by seat allowance, or when a company wants to control how many active learners are using the LMS at once.

What happens when a staff member leaves?

Corporate includes staff replacement workflows. This means an active seat can be reassigned to another staff member while preserving the historical training record for the person who left. This matters because training history should not simply disappear when someone leaves a company, but the business still needs a practical way to reuse an active seat.

What is Training Needs Analysis?

Training Needs Analysis helps define what training is required for a person, team, department or role. It shows what has been completed and what is still missing. This helps managers identify training gaps, plan refresher training, and make sure staff are aligned with the training requirements for their responsibilities.

What is the Staff Competency Matrix?

The Staff Competency Matrix gives managers a clearer view of training status across staff, departments and roles. It can show completion, missing training, expired training, failed assessments, certificate status and evidence gaps. This makes it easier to check whether staff have the training and evidence needed for their role.

What is regulated document acknowledgement?

Regulated document acknowledgement lets you require staff or learners to confirm that they have read and understood a policy, procedure, safety document, handbook, operating instruction, HR document, information security policy or other controlled document. The system can record the learner, document version and acknowledgement date, which helps when acknowledgement needs to be evidenced later.

What is practical skills sign-off?

Practical skills sign-off is for training that cannot be proven by an online quiz alone. An authorised assessor can confirm that a learner has demonstrated a skill, completed a practical requirement or supplied suitable evidence. This is useful for workplace training, technical skills, safety procedures, practical assessments and any course where real-world performance matters.

What is the external assessor portal?

The external assessor portal gives authorised assessors controlled access to the records or tasks they need to review. It is useful when a third-party trainer, client assessor, workplace supervisor or specialist reviewer needs to inspect evidence or record sign-off without being given full WordPress admin access.

What is the Training Risk Dashboard?

The Training Risk Dashboard highlights records that need attention. This can include expired certificates, missing training, failed assessments, incomplete evidence, missed sessions, departments below target, incomplete video training or overdue retraining. It helps managers focus on the records that may create compliance, contract, operational or audit problems.

What are corporate audit exports?

Corporate audit exports create exportable evidence packs for a company, department, role, learner or date range. They are useful for audits, client reviews, compliance checks, regulator requests, management reporting, contract reviews and internal governance. The aim is to make training evidence easier to provide when somebody asks for proof.

Agency Version Questions

What is the Agency licence?

The Agency licence is for agencies, WordPress developers, consultants, training providers and managed service businesses that build or manage multiple LMS websites. It includes the full Core, Professional and Corporate feature set and licence coverage for up to 20 live production domains managed by the Agency licence holder.

Who should use Agency?

Agency is best for businesses that deliver LMS websites to clients, manage several training portals, run separate branded training platforms, or provide LMS setup and support as a service. It is also useful for training providers who need separate WordPress LMS sites for different brands, contracts, clients or regions.

What does “up to 20 live production domains” mean?

It means the Agency licence can cover up to 20 live production websites managed by the Agency licence holder. A live production domain is a real public site used for learners, clients or training delivery. Development, staging and test-site handling depends on the licence system and support policy, so check the current licence terms if you have a more complex deployment setup.

Does Agency include Professional and Corporate?

Yes. Agency is not a separate lightweight version. It includes the full Core, Professional and Corporate feature stack for covered sites, plus the wider multi-domain licence allowance. That makes it suitable for client LMS delivery, branded training portals, paid course websites, corporate training platforms and compliance-heavy training projects.

Can I use Agency for client work?

Yes. That is the main purpose of the Agency licence. You can build and support client LMS websites, configure training portals, set up course sales, protect resources, create certificates, add corporate accounts, build manager dashboards and provide ongoing LMS management as part of your client service.

Setup And Installation

What should I install first?

Install Holographic Training LMS Core first. If you are using Professional, install Professional after Core. If you are using Corporate, install Core first, then Professional, then Corporate. If you are using Agency on a site, the installed plugins still follow the same stack: Core first, then Professional, then Corporate where the full feature set is needed.

What should I do immediately after installing Core?

Open the setup area, create or confirm the required LMS pages, save WordPress permalinks, review the system email templates, then create a small test course. A good first test is one course, one module, one lesson, one quiz and one learner. This confirms that the basic learner journey works before you start building a large course catalogue.

What should I do after installing Professional?

Activate the Professional licence, then open the Pro setup checks. Confirm that required pages exist, payment settings are configured if you plan to sell courses, AI provider settings are configured if you plan to use AI Tools, and Pro-specific tools are available. Then test one Pro workflow at a time, such as a paid course purchase, a certificate issue, a protected download, a quiz enforcement rule, a tutor-marked activity, an AI lesson draft or a small migration import.

What should I do after installing Corporate?

Activate the Corporate licence, open the Corporate setup checks, create a corporate account, add a manager, assign learners, create or assign courses, and test the manager dashboard. A small test company with one manager and two learners is usually enough to confirm the basic Corporate workflow before configuring real clients or departments.

Why should I save WordPress permalinks after setup?

Saving permalinks refreshes WordPress URL rules. This can prevent 404 errors on course, module, lesson, preview, dashboard, checkout or shortcode pages after setup changes. It is a simple step, but it solves many URL-related issues after installing or changing LMS pages.

Why does the plugin create pages?

The LMS needs pages for learner login, dashboards, course lists, checkout, evidence, certificates, verification and other front-end features. Setup tools help create those pages so the correct shortcodes and routes exist. You can style those pages, but the required LMS output must remain in place for the feature to work.

What is the safest way to test a new site?

Start with a very small test. Create one course, one learner and one simple quiz. Log in as the learner and complete the journey. Then add one paid course test if you use Professional, one system email test, one AI Tools test if configured, one small migration scan if you are importing, and one company-manager test if you use Corporate. Testing in small steps helps you find configuration issues before real learners are using the site.

Courses, Content, Import And Export

How are courses structured?

A normal course structure is Course, Module, Lesson. The course is the overall training programme. Modules divide the course into major sections. Lessons hold the actual teaching content. This structure is easier for learners to follow than a set of disconnected pages, and it gives administrators a clearer way to manage training content.

Can I import a complete course?

Yes. The LMS includes course package import/export tools. A course package can include the course structure, modules, lessons, quizzes and supported media references. This is useful when building courses outside the live site, moving courses between sites, keeping backups or reusing training structures.

Can course packages include videos and downloads?

Supported lesson media can be included and reconnected as part of course package handling. This helps prevent imported lessons from pointing at old attachment IDs from the source site. The exact result depends on how the media is stored, whether the files are available locally, and whether the media type is supported by the package process.

Can I build courses with a visual editor?

Yes. You can shape course-related content with familiar WordPress visual editing workflows such as Elementor or HoloEdit, as long as you keep the LMS output that the page needs. This gives you control over the look of the page while the LMS handles access, progress, records and training logic.

Can AI help me create course content?

Yes, with Professional. AI Tools can help create structured lesson drafts, improve existing lessons, generate quiz questions, check quiz quality and review course quality. You should still review all AI output before publishing it, especially for factual accuracy, tone, level, answer mapping and practical usefulness.

Can I move from another LMS?

Yes, where the source data is supported and can be mapped clearly. Professional includes the LMS Migration Importer for supported source systems such as LearnDash, Tutor LMS, LifterLMS, Sensei LMS and LearnPress. It can scan same-site data, supported exports, SQL dumps, CSV files and JSON files depending on the migration route.

Migrations should be planned carefully. Courses, lessons, quizzes, learners, results, certificates and progress records often use different structures in different systems, so test with a small migration batch before attempting a full migration.

Learners, Access And Progress

How do learners access their courses?

Learners access courses through front-end LMS pages, not through the WordPress admin dashboard. They can log in, view their learner dashboard, see assigned courses and continue training from the public side of the site. Access may be granted manually, by admin approval, through purchase, through assignment rules or through Corporate enrolment depending on the version and configuration.

Can I control who gets access to a course?

Yes. Core supports manual and admin-approved access. Professional adds paid access, course access expiry, subscriptions, payment plans, cohorts and waitlists. Corporate adds company, department, team, role and assignment-based access. This means the access model can stay simple for a small site or become more structured for a larger training operation.

Can learners continue where they left off?

Yes. Progress tracking helps learners return to the right point in a course. In Professional, supported interactive video lessons can also resume video position, which is useful for longer training videos or courses where video completion is part of the learning record.

Can I stop learners skipping ahead?

Professional provides stronger progression controls, quiz enforcement, required assessments, final exams, required watch percentage rules and attendance-based completion rules where configured. This helps make the learner journey more controlled when training needs evidence of completion rather than casual browsing.

Can I export learner records?

Yes. The available export tools depend on the version. Core supports basic learner and completion information. Professional adds stronger reports, Gradebook exports, learner timelines, certificates, evidence and attendance records. Corporate adds company, department, team, manager and audit-focused exports for wider organisational reporting.

Payments, Certificates And Assessments

Can I take payments for courses?

Yes, with Professional. Professional includes paid course access, checkout, basket, orders, invoices, tax controls, coupons, course bundles, module bundles, Stripe and PayPal support. You can sell individual courses, package courses together, apply discounts and manage records inside WordPress.

Can I offer subscriptions or payment plans?

Yes, Professional includes subscription course access and payment plan course access. These are useful when course access is sold as a recurring service, a staged payment arrangement or a longer training programme where learners do not pay everything upfront.

Can I limit places on a course?

Yes. Professional supports course learner limits, cohorts, intake groups, cohort learner limits and waitlists. This is useful for live courses, tutor-supported courses, limited-capacity programmes, paid intakes and training where you need to control how many learners enter at one time.

How do certificates work?

Professional certificates can be issued when learners meet the course completion rules. Depending on your setup, completion may involve lessons, quizzes, assessments, final exams, evidence, attendance, video completion or other requirements. Certificates can use templates, include verification tools, support QR verification and maintain status history.

Can certificates be verified by other people?

Yes. Professional includes certificate verification and QR verification. This lets someone check whether a certificate is valid and helps reduce the risk of fake or altered certificates being accepted as genuine. Certificate status handling can show whether a certificate is valid, revoked, expired or invalid.

Can I use written answers or uploaded evidence?

Yes, with Professional. Tutor marking and evidence portfolio features support written answers, uploaded evidence, practical activity submissions and manual review. This is important for courses where learners need to demonstrate work, provide documents or complete tasks that cannot be marked automatically.

Video, Live Sessions And Attendance

Can the LMS protect video lessons?

Yes, with Professional. Protected lesson video support helps keep video content behind LMS access controls. This is useful when video is part of a paid course, internal training, client training or any programme where videos should only be available to enrolled learners.

Can video watching count towards completion?

Yes, with Professional where supported video tracking is configured. You can use required watch percentage rules so a learner must watch a defined amount of the video before completion can count. This is useful when video content is mandatory, especially in structured training and compliance-style courses.

Can learners resume a video where they stopped?

Yes, supported interactive video lessons can record learner position and resume playback. This improves the learner experience, especially for longer videos, technical lessons or recorded training sessions that learners may complete over more than one visit.

Can I run live sessions?

Yes, with Professional. Live sessions can be used for webinars, classroom dates, workshops, online meetings, practical sessions or blended training. Learners can see relevant session details, and attendance can be recorded as part of the training record.

Can attendance be part of completion?

Yes, where configured. Professional can use attendance evidence as part of lesson or course completion rules. This is useful for blended learning where a learner must complete online content and attend a live session before the training is considered complete.

Can managers see attendance across a team?

Yes, with Corporate. Corporate extends attendance evidence into manager and team reporting. Managers can view attendance records, missed-session reporting and team training evidence within their permitted scope.

Licensing, Updates And Data

How much do the licences cost?

Core is free. Professional is £199 annually for one live production domain. Corporate is £499 annually for up to five live production domains. Agency is £999 annually for up to 20 live production domains managed by the Agency licence holder. Check the current version and purchase pages before buying, because pricing and terms may be updated over time.

Where do I activate a Professional licence?

Professional licence activation is handled through the Professional licence area in the plugin admin. Enter the licence key, activate it, then check the status, domain and enabled feature information. If activation fails, check the key, the domain, the server connection and whether the licence is already assigned elsewhere.

Where do I activate a Corporate licence?

Corporate licence activation is handled through the Corporate licence area. Corporate is a separate add-on layer, so it has its own licence management rather than hiding everything inside the Professional screen. Core and Professional still need to be installed for Corporate to work.

Does the licence server store my courses or learner data?

No. Your courses, lessons, learners, progress records, orders, invoices, certificates, evidence, attendance records and corporate data stay on your WordPress website. The licence system controls access to paid plugin features and updates; it is not a hosted LMS service and it is not where your training records are stored.

What happens if a paid licence expires?

An expired licence affects access to paid features, licence validation and updates. It should not delete your existing courses, learners, certificates, orders, settings or training history. You should renew the licence if you want to keep using paid features and receiving updates.

Should I back up before updating?

Yes. Any live training site should be backed up before plugin updates, especially if it contains learner progress, payments, certificates, assessment evidence, migration records, corporate records or compliance data. This is normal good practice for WordPress sites and is particularly important for LMS websites because they hold operational records.

Does the plugin sell my data or send learner records to advertisers?

No. The LMS is a WordPress plugin that stores its training records on your own website. Licence validation is separate from learner record storage. As with any WordPress site, you remain responsible for your own privacy policy, hosting, backups, security and data protection practices.

Compatibility, Security And Performance

Will the LMS work with my theme?

Holographic Training LMS is designed to work inside normal WordPress sites, but the final appearance depends on your theme and page layout. A good theme should display shortcode output, forms, tables, learner dashboards and course pages without breaking the layout. If a theme heavily changes content output or blocks shortcodes, some styling adjustments may be needed.

Can I use a caching plugin?

Yes, but LMS pages need sensible cache exclusions. Public marketing pages can usually be cached, but learner dashboards, checkout pages, account pages, evidence pages, certificates, progress areas and manager dashboards often need to stay dynamic. If a logged-in learner sees stale progress, wrong dashboard data or old checkout information, check your caching rules first.

Can I use membership plugins or other LMS plugins at the same time?

Be careful. Membership plugins, access-control plugins and other LMS plugins can conflict if they try to control the same pages, users, roles, redirects, payments or content access rules. It is usually better to let one system control the learner journey. If you need to combine systems, test carefully on a staging site before using it with real learners.

Is protected content completely impossible to copy?

No website can make viewed content impossible to copy. Protected downloads and protected video help prevent direct public access and keep files behind access rules, but they cannot stop every possible screen recording, camera recording, browser capture or manual copying. Their purpose is controlled delivery and reasonable protection, not impossible-to-break digital rights management.

Will the LMS slow my website down?

Any LMS adds functionality, database records and dynamic pages, so performance depends on hosting, theme quality, plugin load, database size, caching setup and how many learners use the site. A well-configured WordPress site with decent hosting should handle normal LMS use well. Large course catalogues, heavy video, many learners, lots of reports and corporate data need better hosting and sensible maintenance.

Can I use the LMS for high-volume training?

Yes, but plan the hosting and workflow properly. High numbers of learners, orders, quiz attempts, certificates, video progress records and attendance entries require good hosting, object caching where appropriate, regular backups, database maintenance and sensible report/export habits. For larger deployments, test expected learner loads before launching widely.

Do AI Tools send learner records to the AI provider?

AI Tools should be used carefully with real learner data. For lesson creation, quiz generation and quality checks, avoid sending unnecessary personal data. Use course content and structure rather than learner records unless a workflow specifically requires it and your data protection position allows it.

Are SQL migration files safe to upload?

Only upload SQL dump files from trusted sources and only when you need them for migration. The LMS Migration Importer scans supported SQL dump content without executing the SQL, but SQL dumps can still contain private course, user, order or learner information. Keep backups and remove migration files when they are no longer needed.

Troubleshooting

A learner cannot access a course. What should I check?

Check that the learner account exists, the learner is logged in, the course is published and the learner has access to the correct course. In Core, check admin approval or manual assignment. If Professional is being used, check payment status, course access expiry, subscription/payment plan status, prerequisites, cohort rules, drip rules and quiz enforcement. If Corporate is being used, check the company account, seat assignment, department/team membership, role assignment and corporate enrolment rules.

A learner has not received an email. What should I check?

Check the relevant system email template, the learner email address, spam or junk folders, SMTP setup, sender name, email logs if available and whether the action that sends the email actually happened. For account emails, check verification and password reset templates. For Professional workflows, check the relevant learning, commerce, reminder or automation template.

A lesson is locked. What should I check?

Check whether the lesson is controlled by a previous lesson rule, previous module rule, prerequisite, release date, drip setting, quiz pass requirement, required video watch percentage, attendance requirement, course access rule or corporate assignment rule. A locked lesson is usually caused by an access or progression rule doing what it was configured to do.

A quiz is not blocking progress. What should I check?

Check that Professional is active if you are relying on quiz enforcement. Confirm the quiz is attached to the correct lesson, the pass mark is set, the progression rule requires a pass, and the learner has not already passed a valid attempt. Also check whether the course or first module is intentionally configured to allow progress without a quiz.

A certificate has not been issued. What should I check?

Check that Professional is active, certificates are enabled, a certificate template exists, the learner has completed the required course rules, and any required quiz, assessment, final exam, evidence review, video requirement, attendance rule or approval step has been completed. Certificate issues are often caused by one missing completion requirement rather than a certificate problem itself.

Checkout is not working. What should I check?

Check that Professional is active, the licence is valid, payment settings are complete, the course has a price, checkout and basket pages exist, the payment gateway is correctly configured, and the site is using the correct live or test mode. Also check whether a caching plugin is caching checkout or account pages, because checkout pages normally need to remain dynamic.

AI Tools are not working. What should I check?

Check that Professional is active, the licence is valid, the AI provider is configured, the API endpoint or key is correct, the selected model is available and the Self-Test works. If a selected course, module, lesson or quiz disables some fields, that usually means the selected LMS item is being used as context.

The Migration Importer detects the wrong LMS. What should I check?

Check the evidence shown by the importer. A source should be based on strong evidence such as known plugin files, source post types, source options or known source tables. If the evidence does not look like it belongs to that LMS, do not run the import. Review the source scan, update to the latest Professional version and test again.

A shortcode page is blank. What should I check?

Check that the page exists, is published, contains the correct shortcode, and has not had the shortcode removed by a visual editor edit. Confirm the active plugin version supports that shortcode, save WordPress permalinks, and test while logged in as the correct type of user. Some shortcodes only show content to learners, managers or administrators with the right permissions.

A shortcode is showing as plain text. What should I check?

Check that the shortcode is placed in a WordPress content area or shortcode-capable widget. Some HTML-only widgets display shortcodes as text instead of running them. Also check that the shortcode has been typed correctly and that the plugin providing that shortcode is active.

Learner progress looks wrong. What should I check?

Check caching first, especially if the learner dashboard or lesson pages are cached for logged-in users. Then check that the learner is logged into the correct account, the lesson belongs to the expected course, completion rules are correct, and the course structure has not changed in a way that leaves old progress records pointing at outdated lessons or modules.

Corporate managers can see too much or too little. What should I check?

Check the manager’s permission level, company scope, department scope, team scope and assigned role. Then check whether the records they expect to see actually belong to that company, department or team. Manager visibility issues are usually caused by scope configuration, missing group assignments or records being attached to a different corporate account.

Imports fail or create unexpected records. What should I check?

Validate the file format first and test with a small import before using a large file. Check required fields, IDs, slugs, duplicate titles, quiz structures, assessment settings, media references, source mappings and whether the target site already contains records with similar names or slugs. Always back up before large imports, especially on a live site.

What information should I include when asking for support?

Include the plugin versions installed, which version you are using, your WordPress and PHP versions, the exact page or feature affected, what you expected to happen, what actually happened, and any error message shown. If the issue involves a course, include whether it affects one course or all courses. If the issue involves a learner, say whether it affects one learner, one role, one company or everyone. For migration issues, include the source LMS, import route, batch ID, selected data groups and the first clear error from the import log.

Need The Main Plugin Page Or Licence Options?

Return to the main plugin page for the overview, compare the available versions, download the plugin, request support, or go straight to checkout if you already know which licence you need.
